119 Records Retention

The Ohio Revised Code §149.011 defines records as including the following: Any document, – device, or item, regardless of physical form or characteristic, including an electronic record as defined in section 1306.01 of the Revised Code that is created or received by or coming under the jurisdiction of any public office of the state or its political subdivisions, which serves to document the organization, functions, policies, decisions, procedures, operations, or other activities of the office.
The Tri-County Board of Recovery and Mental Health Services shall maintain a Records Retention Schedule regarding the destruction of records generated and maintained by the Board. The Schedule shall assure compliance with all State, Federal and other regulatory requirements for the retention of such records.
The Tri-County Board will maintain records in a manner so that they are not destroyed, transferred, deleted or otherwise disposed of outside of a current records retention schedule.
All records shall be stored in a secure manner that complies with State, Federal and other regulatory requirements.
The Tri-County Board will establish a Records Commission in accordance with O.R.C §149.412. The Commission will meet at least annually to review the Board’s Record Retention Schedule and approve any necessary changes as well as any applications for disposal of obsolete records.
