110 Credit/Purchasing Card Usage

The Board wishes to assure that Board credit and purchasing cards are adequately safeguarded and their use is monitored in a consistent manner.
Board credit and purchasing cards may be used when necessary with vendors that require the use of such cards to make purchases.
The Board’s Chief Financial Officer shall keep these cards in a secure area. Cards will be released to staff for use when funds have been appropriately encumbered for purchases. Staff will return the cards upon return to the office when the purchases have been made along with the items purchased and the sales receipt. All invoices/statements will be compared to the sales receipt to assure that all purchases have been accounted for.
The Board’s CFO shall maintain a log of the release and return of all cards so that their whereabouts can be tracked at all times.
At no time shall items other than Board items be purchased with the Board cards. Use of Board cards for purchases of any non-Board items may result in disciplinary action.
