Tri-County Board Conference Room Terms and Conditions

The Board’s use of the facility shall always take priority over other entities wishing to use the facility. 

Smoking is not permitted in the Conference Center or the building.  Smoking is permitted only in designated smoking areas outside the building.

Room set up and clean up is the responsibility of the individual/group using the Conference Center.  Please return the room to its original condition/set up, unless otherwise specified by the Tri-County Board.  Any damage incurred to the room or its contents during usage is the sole responsibility of the individual/group utilizing the room under this contract. 

Maximum capacity of the Conference Center is 60 persons.

If use of the Conference Center will begin or end after regular Board business hours (Monday – Friday, 8:00 – 5:00) it is the responsibility of the Requestor to make arrangements to pick up a key to open and lock the office.  It is the sole responsibility of the individual/group to see that the office is locked and that lights are shut off in all areas before leaving.  The key is to be returned on the first business day following the event.

The Tri-County Board of Recovery & Mental Health Services Board reserves the right to deny use of the Conference Center if the room is already scheduled for use or if damage was caused to the room or its contents during prior usage by the group/individual.

Conference Center Fee: No Charge*
* The Executive Director of the Tri-County Board reserves the right to assess a fee for the use of the facility and technologies or if there has been damage to the facility and equipment.

Internet access shall not be used for personal use, personal gain, or advancement of personal views.  It is prohibited to access the Internet for any unethical purposes, including pornography, violence, gambling, racism, harassment, or any illegal activity.  It is not permissible to download software without the express acknowledgement and support of the Director of Information Services to ensure that proper licenses are obtained and viruses are not transmitted.  All external storage devices (thumb drives, CD, DVD, or other electronic storage devices) MUST be scanned by the  Director of Information Services PRIOR to utilizing them with Board equipment.  The Board reserves the right to monitor, audit, and review Internet use. Removal of audio/video equipment from the Tri-County Board suite is prohibited under all circumstances.

The Tri-County Board provides telephones for conducting Board business.  Telephones should not be used to make personal long distance calls or excessive local personal calls. 
*The Executive Director reserves the right to assess a fee for any long distance calls made during the use of the conference center.

Any agencies, organizations, volunteers or contract staff that wishes to utilize the Board’s conference facilities and/or technology shall not use said facilities and technology to engage in illegal, unethical or immoral activities or any inappropriate behavior.
